Description

The Public Health Division in Birmingham City Council (the Council) plans to host a Covid Legacy Conference which will be delivered in February 2023. This will provide an opportunity to highlight achievements, share lessons learnt from the past two years and agree actions that will contribute to a positive Covid Legacy. It will also provide an opportunity to give recognition and gratitude for the hard work and efforts of our stakeholders and partners whilst continuing to maintain our relationships for the future. With approximately 150 to 200 delegates being invited, this will be a large high-profile event bringing together delegates from communities and key partner organisations to share, learn and reflect on the response to the pandemic and the legacy we want to co-own moving forward. The Public Health Division in the Council seek to commission a provider who will manage the conference and content in its entirety with guidance and input from the Covid Legacy Conference Steering Group (CLCSG). The provider will be expected to plan, design, and manage the conference as well as: o Secure a central Birmingham based event venue and incur costs o Plan, coordinate, administer and deliver the conference by February 2023. o Undertake pre-event work with communities and citizen delegate to co-create participatory elements of the programme and ensure they have full agency to participate fully in the discussions and output creations of the day. o Liaise with and coordinate stakeholders and partners when planning the programme and activities capturing their success stories and positive outcomes from Covid which will be recognised during the event o Communicate and cooperate with the Council as well as with venue managing team throughout the planning period. o Create and coordinate workshops, break out rooms, display boards to enable a high level of delegate participation and collaboration in creation of lessons and learning. o Identify guest speakers, such as Justin Varney, Director of Public Health, a national leader, a political figure or a motivational public speaker and incur any costs. o Develop, create content for, produce, and distribute a conference brochure; and market the brochure through social media on a variety of online platforms, ensuring that brochures are produced and distributed in a timely manner to promote the event. o Support and implement a marketing plan to advertise the conference, making sure the target audience is contacted and invited to the event with a good lead in time. o Provide ongoing support for all event marketing and communication in order to maximise conference attendance. o Ensure the culturally diverse landscape of Birmingham is captured in the arts and culture aspect of the event that reflects the important role of cultural interventions as part of the Covid response. o Incorporate a celebratory element throughout the programme. o Collaborate w...
